- ‘ALT 1’ in the first column indicates that these shell scheme stands can be provided with trestle tables, rather than glass-top display cases, at a lower price.
- ‘ALT 2’ indicates the same trestle table stand, but without electricity, lighting or a facia name sign board.
- Shell scheme stands come with electricity, lighting and a name board but these are not present on the ‘ALT 2’ stands.
- All prices are plus VAT (currently 20%) but VAT is not charged to overseas dealers.

Standholders
Terms and conditions of trade stand bookings.
- Payment of anypart of a trade stand fee will be taken as confirmation that these terms and conditions have been read and agreed to by the stand holder.
- EuroPhilEx Birmingham 2025 is an International Stamp Exhibition with FEPA patronage and FIP recognition. It is organised by Stamp World Exhibitions Ltd whose registered office is Marchwood, 56 Wickham Avenue, Bexhill, East Sussex TN39 3ER. The postal address for communications is EuroPhilEx 2025, c/o The Royal Philatelic Society London, 15 Abchurch Lane, London EC4N 7BW, United Kingdom.
- The exhibition will be open to the public from 10am until 6pm Wednesday to Saturday and 10am until 4pm on Sunday. General admission will be from 11am on the first day with limited priority admission from 10am.
- Stand holders agree to man their stands throughout the opening hours and their staff will wear identity passes that will be supplied by the organisers, which will also give them early and late access to the hall.
- Stand holders may enter the hall for unloading from 12 noon on Tuesday 6 May 2025 (subject to the hall layout being complete) and from 8am on the opening day of the exhibition, Wednesday 7 May. On the Thursday to Sunday, stand holder access to the hall will be from 9am. They may remain in the hall for unloading until 8pm on Tuesday 6 May. They must vacate the hall by 6.30pm on Wednesday 7, Thursday 8, Friday 9 and Saturday 10 May. On Sunday 11 May they must clear all of their stock and equipment by 8pm at the latest. Nothing can be left for collection the following or subsequent days.
- Stall holders agree to only offer for sale or display, goods or services that are considered philatelic in nature.
- The stand holder will be the person or company stated on their booking form. If stands are being shared, only the entity on the booking form will be corresponded with and receive stand holder benefits, unless an additional £300 fee has been paid to extend benefits to both parties. The stand holder may not transfer, give or sell their stand to another party. The stand holder is responsible for all persons working on their stand.
- Once a stand position, size, furnishings and construction has been agreed, the organisers will not change it unless there are unavoidable circumstances. Stand holders may rearrange the furnishings within their stands providing it stays within the curtilage and does not impede their neighbours.
- No food or drink may be bought into the exhibition, even if it is for personal consumption.
- The stand fee payable is shown on the stand confirmation and invoice, and allows for any agreed discounts. Stand fees are subject to Value Added Tax, which is currently 20%. VAT is not charged to overseas stand holders that can provide proof of tax registration or business registration in their own country.
- Stand fees must be paid by the due dates, which are 40% by the end of November 2024, 30% by the end of December 2024 and the final 30% by 7 February 2025. The full amount may be paid immediately if preferred. Failure to pay by the due dates without prior agreement from the organisers may result in cancellation of the trade stand booking, without compensation.
- Furnishings will be provided as specified on the stand confirmation unless changes are subsequently agreed.
- If the organisers decide to cancel the event, which is not expected or likely, all stand fees paid will be refunded. If the event is cancelled due to Force Majeure, by the organisers, the venue or any other body with such powers, the organiser will refund all stand fees paid. Force Majeure may include, but is not limited to, the venue being unusable due to fire, earthquake or impact, strikes, civil disorder, infestation, infection and pandemic, or acts of God. In the event of cancellation, the organisers will not be responsible for any other incidental expenses that stand holders may incur.
- If a stand holder cancels a stand booking, the stand fee paid will be forfeit unless the stand can be relet, in which case 25% will be deducted as an administration fee and the balance refunded.
- If a stand holder fails to turn up for all or part of the event, the neighbouring stands will be permitted to utilise the empty space without charge. The stand holder will not be reimbursed for the stand fee.
- Stand holders and anyone working on their stands must not attach anything to the walls, pillars or surfaces of the venue and may only attach items to shell schemes that they remove without leaving marks at the end of the event. IE. Blu Tack type products are acceptable but Sellotape, Velcro pads or adhesive pads are not.
- Stall holders are requested to remove their rubbish at the end of the event but anything left behind must be left in rubbish bags, provided by the organisers, or boxes that are easily removable.
- The organisers will arrange to have the public areas of the hall cleaned daily, but not within the stand areas.
- The organisers will provide 24-hour security in the hall throughout but are not responsible for any losses, no matter how incurred, whether by theft, fire or water damage, or anything else. The stand holder and their insurers agree to indemnify Stamp World Exhibitions Ltd, their directors, agents, the organisers, their staff and volunteers, the A.B.P.S. the NEC and their staff, for any and all losses, injury, liability, penalties, obligations, costs and expenses including legal and attorney’s fees, or damage, to persons or property. Stand holders would be wise to take out an all-risks’ policy to insure against such risks.
- Stand holders must have at least £5,000,000 (five million pounds) of public and employer’s liability insurance, and are required to bring documentation to prove insurance cover should the NEC ask to see it.
- Stand holders agree to behave in a business-like manner and not misrepresent anything they sell.
- All stock and equipment brought into the venue must comply with United Kingdom health and safety standards appropriate to an event of this sort. No audio equipment may be operated but electronic visual aids are permitted. Internet wifi is available free of charge throughout the building.
- Trade stand holders are responsible for their own tax and VAT affairs. Overseas traders must arrange their own customs clearance, if necessary, when leaving their county and on entry and departure from the UK. We can provide details of a United Kingdom customs clearance agent who we use to import and export exhibits.
- No smoking, vaping, or illegal drug use is permitted anywhere in the building and fire doors and unloading doors must not be opened for those purposes as they are alarmed.
- Animals are not allowed in the building, except guide dogs and assistance animals.
- Stand holders’ contact details may be shared with companies associated with the event, such philatelic magazines, and may be used to advise of future events.
- Stand holders may use and are encouraged to use the EuroPhilEx logo on their advertising. It can be downloaded from the website.
- For clarity, it is stated that trestle table only stands do not have electricity points or lighting, but the lighting in the hall is considered adequate. Shell scheme stands, including those with trestle tables, do have an electricity point and lighting. The venue and stands are not carpeted unless special arrangements have been made with the organisers.
- Shell scheme stands may use multi-way extension leads on their stand, so long as they do not create a trip hazard, but multi-way adapters are not permitted. Shell scheme stands will be provided with a named facia board, the wording of which will be agreed in advance.
- All stand holders will receive complimentary first day tickets to distribute to their customers. If used these must be distributed in advance of the exhibition and must not be given out or left at entry points or public areas of the NEC on the first day.
- Any amendments or additions to these terms and conditions will be notified to stand holders by email.
- These terms and conditions apply to all trade stand bookings along with any other written provisions agreed by both parties. No oral agreements will be accepted unless subsequently put in writing. In the event of a dispute, the law of England and the jurisdiction of English Courts will prevail.
